About the Role
Randstad is recruiting experienced Service Coordinators with a strong background in scheduling and office administration, ideally within the HVAC or broader trade sectors (such as plumbing, electrical, or building). This is an excellent opportunity to join a dedicated team that values organisation, proactive problem-solving, and efficient service delivery.

As a Service Coordinator, you will play a pivotal role in ensuring smooth, timely, and organised scheduling for technicians, managing client communications, and supporting a busy office environment.

Key Responsibilities

  • Serve as the first point of contact for all client work requests, providing outstanding customer service and maintaining consistent communication from start to finish.
  • Prepare and manage service quotes, work orders, and invoices, ensuring clear, accurate documentation.
  • Utilise internal data management systems (such as SIMPRO, SAP, or Salesforce) to log job details, schedule work orders, and track job progress.
  • Coordinate the allocation and distribution of work, maintaining open communication with technicians, subcontractors, and clients to meet project requirements and deadlines.
  • Oversee scheduling for routine maintenance activities, creating efficient work order sequences to maximise productivity.
  • Manage inventory of parts and materials, including coordination with suppliers and tracking incoming and outgoing items.
  • Assist with front office management, including coordinating conference room bookings and maintaining a tidy, welcoming workspace.
  • Organise and support company events and team meetings as needed.
  • Provide general office administration and undertake ad hoc duties as required.

Qualifications and Experience

  • Proven administrative experience in a trade services or HVAC office environment.
  • Strong scheduling experience with a knack for effective time management and prioritisation.
  • Proficiency with software tools such as SIMPRO, SAP, Salesforce, XERO, or MYOB.
  • Exceptional organisational skills and the ability to manage multiple tasks seamlessly.
  • A client-focused attitude with excellent customer service and problem-solving skills.
